# How to Use Booked Media and Prepare for an Interview

**Booked Media** brings upcoming podcast interviews and other confirmed media opportunities into one place so you can track what is scheduled and prepare before the conversation.

## How an item appears in Booked Media

An item can appear after:

- you mark a reply or campaign contact as booked;
- a team member records the booking; or
- PodPitch detects a high-confidence booking from a reply.

Always verify automatically detected information. A positive reply is not necessarily a confirmed booking.

## Review an upcoming booking

1. Open **Booked Media**.
2. Select the upcoming item.
3. Confirm the outlet, contact, profile, and campaign.
4. Review the booking date and time.
5. Correct or add the date if it is missing.
6. Review the personal note in the side panel.

If a meeting changes, update the existing booking rather than creating a second entry.

## Add a personal note

Each booking supports one personal note in its side panel.

1. Open the booking.
2. Open the note side panel.
3. Add preparation details, talking points, links, or follow-up reminders.
4. Save the note.

To change the note later, edit the existing note. A booking does not create a separate stack of notes.

## Prepare for the interview

When **Prepare for Interview** is available:

1. Open the Booked Media item.
2. Select **Prepare for Interview**.
3. Review the outlet's recent content and the match context.
4. Generate the preparation brief.
5. Edit or supplement the brief with current information about the guest.

The preparation brief can use recent show or media content, including an available transcript. If PodPitch cannot find usable source material, the preparation option may be limited or unavailable.

## What to review before the conversation

Confirm:

- the host or journalist's name and outlet;
- the intended audience;
- recent topics and episodes or articles;
- the angle that led to the booking;
- the guest's key talking points;
- claims or figures that need a source; and
- any topics the guest should avoid.

Treat the generated brief as a starting point. The guest or account owner should review it before the interview.

## Mark the outcome

After the interview or placement:

1. Open the campaign contact or Booked Media item.
2. Update its status using the completion option shown.
3. Add the published link when it becomes available.
4. Update the personal note with any remaining follow-up.

## Troubleshooting

If a confirmed booking is missing, locate the reply or campaign contact and mark it as booked. If the date is incorrect, edit the booking before creating another item.

If **Prepare for Interview** cannot generate a brief, confirm that PodPitch has recent usable content for the outlet. Contact Support through dashboard chat when the booking or preparation action continues to fail.
