📬 How to Use the Newsletters Database in an OmniCampaign

The Newsletters Database helps you find newsletter writers and publications for outreach inside a PodPitch OmniCampaign.


Newsletter outreach is a media channel in an OmniCampaign. Do not create a separate Newsletter campaign for the same profile.


What you can use it for


Newsletter and Substack outreach can support:


  • Guest features
  • Expert commentary
  • Mentions
  • Written contributions
  • Product or company coverage
  • Thought-leadership placements


1. Open the Newsletters Database


Open Search or Databases from the PodPitch navigation, then select the Newsletters Database where it is available.


If Newsletters is not shown, confirm that the feature is available to your account.


2. Search for relevant publications


Search using the profile's topic, expertise, audience, product category, or story angle.


Use specific phrases rather than a single broad word. For example:


  • Financial planning for freelance creatives
  • AI adoption in independent healthcare practices
  • Leadership advice for first-time founders


3. Apply the available filters


Newsletter records and filters can vary. Where available, you may be able to refine results using:


  • Topic or category
  • Audience type
  • Subscriber or reach information
  • Publishing frequency
  • Publication or writer information
  • Website or Substack details


Use only the filters shown in the current database. Missing data does not necessarily mean a publication is inactive.


4. Review each newsletter


Before adding a result, confirm:


  • The newsletter is still active
  • Its recent content matches the campaign
  • The writer or editor appears current
  • The audience is relevant
  • The proposed contribution or feature fits the publication
  • The publication has not already been contacted for the same story


Open the newsletter's website or Substack page when you need to verify recent activity.


5. Save or add the target


Depending on the controls shown, you can:


  • Save the newsletter to a media list, then add the list to a campaign
  • Add the newsletter directly to a compatible OmniCampaign


Choose the existing OmniCampaign for the correct profile. The newsletter is added to the campaign's newsletter media workflow; PodPitch does not create a separate Newsletter campaign.


If the OmniCampaign does not appear, check that:


  • It uses the correct profile
  • It is a current OmniCampaign
  • Newsletter outreach is available in the campaign
  • A sending address is active under Email Addresses


6. Review the newsletter pitch


A newsletter pitch should explain why the profile or idea is useful to that publication's readers.


Check:


  • The contribution or feature idea
  • Topic and audience fit
  • Personalization
  • Claims and supporting links
  • Sending address, From name, and signature
  • Whether the pitch is appropriate for a newsletter rather than a podcast or journalist


Do not reuse a podcast guest pitch unchanged.


7. Start outreach carefully


Keep the OmniCampaign Off or in Manual Mode while reviewing new newsletter targets and pitches. Enable Smart Mode only after the newsletter workflow is accurate.


Replies arrive in the connected inbox and, where supported, PodPitch reply tools such as Magic Inbox.


Troubleshooting


If Newsletter is unavailable or shows no enabled sending email:


  1. Open Email Addresses.
  2. Confirm the sending address is connected and ready.
  3. Complete any Fix Now or Reconnect action.
  4. Confirm that Newsletter access is included for the account.
  5. Reopen the OmniCampaign and check the available media types.


If the issue continues, contact Support with the campaign name and exact error text. Do not share passwords, one-time codes, API keys, or active session tokens.
