βοΈ How to Edit Your Email Signature in PodPitch
Your Email Signature is the information added beneath the signing name in outreach sent from a connected mailbox.
You can include text and hyperlinks in the signature. Links are supported; removing them is optional.
Edit a connected email signature
- Click Email Addresses in the left sidebar.
- Find the connected email address you want to update.
- Click Edit next to the mailbox.
- Locate Email Signature.
- Update the text, line breaks, links, or formatting.
- Click Save Changes.
The updated signature is used for future outreach sent through that connected email. Review a pending pitch or send a test email before resuming automated outreach.
What to include
A clear signature commonly includes:
- Your name
- Job title
- Company or organization
- Company website
- One relevant social or professional profile
- Contact details when necessary
Hyperlinks are allowed. You can add, edit, or remove a link, including an automatically underlined email address.
For cleaner formatting and better deliverability, keep the signature concise and include only links that are useful to the recipient. Avoid an image-heavy signature, excessive links, URL shorteners, or unrelated promotional content.
Email Signature, Signing Name, and From name
These settings control different parts of the email:
- Signing Name is the name used at the end of the written message.
- Email Signature is the additional text, links, and formatting displayed below the signing name.
- Official From name is the sender name displayed next to the email address in the recipient's inbox.
To change the Signing Name, edit the mailbox under Email Addresses.
For a connected Google or Microsoft mailbox, changing the Email Signature does not change the official From name. Update the official name with the email provider and reconnect the mailbox in PodPitch when necessary.
Email Signature and Profile Signature
PodPitch can also use a Profile Signature associated with the person or company being promoted. It is separate from the signature saved under Email Addresses.
Use:
- The connected-email signature for information about the sender.
- The profile signature for information specifically associated with the profile being pitched.
If both contain the same details, the email may appear to have a duplicated signature.
Test the result
After saving:
- Open an OmniCampaign that uses the connected email.
- Review a pending pitch or send a test email.
- Confirm the name, spacing, links, and formatting.
- Check that only the intended signature appears.
- Resume Smart Mode only after the test looks correct.
Changing a signature does not alter emails that have already been sent.
Fix a duplicated or outdated signature
If the wrong signature appears:
- Confirm that the OmniCampaign uses the mailbox you edited.
- Reopen Email Addresses and check its Signing Name and Email Signature.
- Open the relevant profile and review its Profile Signature.
- Remove duplicated information from the appropriate location.
- Save the changes and send another test.
If an old signature still appears, contact Support through the chat in your dashboard. Include the mailbox address, profile name, OmniCampaign name, and a screenshot with sensitive information hidden.
