How to Review and Improve OmniCampaign Performance
Review an OmniCampaign using replies, bookings, match quality, pitch quality, sending activity, and email health together. Do not judge performance from one percentage alone.
Understand the current open rate
PodPitch logs tracking-pixel activity, but a hit during the first 60 seconds after an email is sent is no longer counted as an open. Those immediate hits are commonly caused by mail scanners or inbox prefetching rather than a person reading the pitch.
As a result:
- displayed open rates can be lower than older PodPitch reports;
- the lower number does not mean sending volume or deliverability changed; and
- reports from before and after the counting change are not directly comparable.
Use open rate as a directional signal, not proof that a person read the email. Prioritize replies, qualified conversations, and bookings when judging outcomes.
Review every media type separately
An OmniCampaign can include podcasts, journalists, and newsletters. A strong result in one media type does not mean the others are equally well targeted.
For each enabled media type, review:
- the relevance of recent matches;
- Smart Fit explanations;
- skipped and excluded contacts;
- reply quality;
- generated pitches; and
- booked or completed media.
Improve match relevance
Use match-rating and skip controls to explain why a recommendation is or is not relevant. Give a specific reason such as topic, audience, location, outlet size, format, paid-placement requirement, or outdated contact information.
Update targeting instructions when the same problem appears repeatedly. Put exclusions and negative requirements in targeting, not only in writing instructions.
Improve the pitches
Review a sample from every enabled media type and confirm:
- names and outlet details;
- the profile's approved facts and links;
- the news hook or guest angle;
- first-person or third-person perspective;
- subject lines;
- sender name and signature; and
- the requested next step.
After a material profile or writing change, rewrite eligible pending pitches and review them before Smart Mode resumes.
Check sending and email health
A daily pitch budget is a maximum, not a guarantee. Actual sending can be lower because of the schedule, available matches, follow-ups, exclusions, campaign mode, or sender health.
Open Email Addresses and resolve any connection or deliverability warning. Check campaign activity and replies before assuming a low open rate means the mailbox is failing.
Keep improving
- Review replies and bookings weekly.
- Rate or skip poor matches with a clear reason.
- Refine targeting when a pattern appears.
- Review rewritten pitches before sending.
- Compare results over a consistent reporting period.
- Contact Support when the underlying send history conflicts with the dashboard.
When contacting Support, include the campaign name, media type, date range, expected result, actual result, and a redacted screenshot.
