⚙️ Smart Mode, Manual Mode, and Daily Pitch Budgets
Smart Mode, Manual Mode, and Daily Pitch Budgets
The campaign mode determines whether PodPitch sends outreach automatically or waits for your review.
Choose the launch mode when creating a campaign
On the last step of a new OmniCampaign:
- Create campaign and start sending emails immediately launches the campaign in Smart Mode. Eligible outreach can begin automatically, subject to the schedule, daily budget, team capacity, and sending controls.
- Create campaign and manually review first creates the campaign without starting automated outreach.
Use the manual-review option when the profile, targeting, enabled media types, sender, or drafts still need review.
Off
Use Off while correcting or temporarily stopping the entire OmniCampaign.
The campaign-wide Off control is not the correct way to stop only one media type. To pause just journalists, podcasts, or another channel, open Pitches, choose that media tab, and use its channel-level pause control.
Review whether already-scheduled messages or follow-ups need separate action before relying on Off for a date-sensitive pause.
Manual Mode
Use Manual Mode when you want to review and send outreach yourself.
It is useful when:
- a campaign is new;
- targeting is being tested;
- the profile or writing instructions changed;
- a new media type was enabled; or
- accuracy requires individual review.
Manual Mode presents eligible matches in straightforward best-first order.
Smart Mode
Use Smart Mode when the campaign is ready for automated sending.
Before starting Smart Mode, confirm:
- targets from every enabled media type;
- a sample of pitches;
- names, claims, links, perspective, subjects, sender, and signature;
- the active sending address;
- the sending schedule; and
- the Daily Budget.
An existing Manual campaign can show Turn on Smart from the Campaigns page.
How Smart Mode orders podcast matches
A new Smart campaign begins with its strongest eligible podcast matches.
After the opening batch, Smart Mode can blend the delivery order across the remaining eligible matches. This helps maintain a steadier level of match quality instead of using every high-ranked match during the first few days.
This changes when an eligible podcast is pitched. It does not:
- add a podcast that was not matched;
- remove an eligible podcast;
- change its Smart Fit score; or
- override skips, exclusions, or campaign targeting.
The steadier delivery order can be enabled team by team, so two accounts can temporarily show different ordering behavior. Manual Mode remains best-first, and the first batch of a new campaign remains best-first.
Daily Budget
The N/day value in the Daily Budget column is the maximum number of new pitches that campaign can attempt each day.
All active Smart campaigns share the team's total pitch capacity. Use the Pitch Usage pill or Daily Pitch Tracker to review the allocation.
A budget is a maximum. Actual daily sends can be lower because of schedules, eligible targets, exclusions, follow-ups, sender readiness, or other sending controls.
Monitor Smart outreach
Check replies, ratings, skips, exclusions, bounces, and the Skipped list regularly. If targeting drifts or drafts become inaccurate, switch the campaign Off or to Manual Mode while correcting it.
Matches screened out by Smart Fit remain visible in the Skipped list with the reason shown. A rating submitted by a team member takes priority over the machine rating.
When Smart Mode is not sending
Check:
- the Daily Budget;
- team capacity;
- campaign schedule;
- the active sending address;
- available eligible targets;
- exclusions; and
- whether the campaign is actually in Smart Mode.
