How to Customize AI-Written Pitches


Use campaign writing controls to change how PodPitch writes outreach. These controls do not determine which people or outlets are recommended.


Choose first or third person


Open the campaign's writing settings and choose whether the profile is pitching themselves or a representative is pitching them.


This setting does not change the connected email, From name, or mailbox signature.


Add Custom Instructions


Use Custom Instructions for campaign-specific writing rules such as:


  • approved facts and talking points;
  • the exact name of a product, program, or book;
  • tone and length;
  • phrases to include or avoid;
  • approved links; and
  • required perspective.


Do not put targeting rules here. Targeting controls who PodPitch recommends.


Edit one pitch


Use the individual edit control when only one draft needs a one-time change. Save the edit before sending or scheduling.


Update the profile


Update the selected profile when core expertise, achievements, links, or offers are missing or outdated.


A profile change does not automatically rewrite every draft that already exists.


Rewrite pending pitches


After a material profile, perspective, or writing change:


  1. save the new information;
  2. open the campaign's pitch workspace;
  3. select Rewrite Emails for eligible pending drafts;
  4. wait for rewriting to finish;
  5. review samples from every media type; and
  6. confirm the drafts before enabling Smart Mode.


Placeholder protection


PodPitch holds an email instead of sending it when unresolved placeholder text remains, such as:


  • [Insert booking link]
  • [calendar link]
  • another bracketed instruction that was meant to be replaced.


If a draft is held:


  1. open the draft;
  2. replace or remove the placeholder;
  3. confirm that the real link or detail is accurate;
  4. save the edit; and
  5. send only after reviewing the complete message.


PodPitch should not invent a call-to-action or booking link when the profile's website does not provide one. Add an approved booking link to the profile or writing instructions only when the link is real and should be used.


Final review


Before Smart Mode, confirm:


  • recipient and outlet;
  • profile name and perspective;
  • claims and achievements;
  • program or product names;
  • links;
  • sender and signature; and
  • absence of notes, placeholders, or internal instructions.


If incorrect information continues after rewriting, turn off automated sending and contact Support with the campaign and a redacted example.
