📧How to Update the Email Address for a Campaign

Here’s how the system works — and how to update your email correctly.



How PodPitch Handles Emails


  • Each campaign is linked to one profile
  • Each profile is linked to one sending email
  • That email sends all pitches on behalf of the profile (name, bio, voice, expertise)


Because of this setup:


  • ❌ You cannot assign a different email to just one campaign
  • ✅ Updating the email updates it for all campaigns connected to that profile



How to Update the Sending Email (New Mailboxes Flow)


To change the email a profile uses, you must update the profile’s sending email, which now lives inside the Mailboxes tab.



Step-by-Step Instructions


1. Connect the New Email


  1. Go to Mailboxes in the left-hand menu
  2. Click Add Email
  3. Connect your new email provider (Google, Outlook, iCloud, or IMAP)
  4. Once connected, it will appear as an available sending option



2. Assign the New Email to the Profile


  1. Go to Campaigns
  2. Select the Settings option
  3. Will lead to the Email Settings tab
  4. Under “Emails are coming from & signed as”:


  • Click the X to remove the current email
  • Select the newly connected email from the dropdown
  1. Click Save Changes


All campaigns using this profile will now send from the updated email.



⚠️ Important Notes


Updating the email affects every campaign using that profile


If you want only one campaign to use a different sending email:


➡️ Create a duplicate profile, assign the new email to that profile, and attach the campaign to the new profile.



Email switching may temporarily affect deliverability


Allow 24–48 hours for warming and authentication alignment when switching inboxes.



Smart Pitch & Matching


If Smart Pitch is on:


  • Changing profiles may alter journalist/podcast matching
  • Each profile has its own topics, expertise, and voice settings
  • Using the wrong profile may reduce relevancy
